Calculation is already solved. Formulas and pivot tables recalculate a full month in seconds. The real cost is everything before that: collecting exports from every source and normalizing them into the same columns so the formulas have something reliable to run on.

A single source of truth

  • One transaction ledger with a fixed schema: date, type, direction, category, counterparty, currency, amount, account, and amount converted to the reporting currency.
  • Original records are never overwritten. Every correction is a separate entry with a reason, so there is a full audit trail.
  • A counterparty directory: a sender's payment details are linked once to a specific client or team member. From then on, direction, category, and counterparty fill in automatically from history.
  • Any payout to payment details not in the directory is held until a person confirms it.

One schema, many doors

1. Direct integrations where they're cheap

Stripe reports each payment automatically (webhooks), and crypto wallets are read by script through public blockchain APIs. Bank APIs are added as a second step.

2. Statement parser for every other bank

Any bank can export a statement (CSV, Excel, or PDF). AI maps the statement's columns to the ledger schema, and code validates every number and date. Adding a new bank requires no new development.

3. Messaging bot for everything without an export

For payment-app transfers, mobile payment notifications, or local-currency payments, a team member forwards the notification or types one line. AI turns it into a ledger entry and replies with exactly what it recorded, for confirmation.

The goal isn't a perfect integration with every bank. It's a guarantee that every transaction lands in the ledger, in the same format, within 24 hours.

AI flags. People decide.

After the data loads, formulas run automatically. Then an AI pass highlights only the rows that need attention: notes that change meaning ("paid in another currency", "duplicate", "belongs to last month"), anomalous amounts, near-duplicate transactions, and misspelled counterparty names. A person reviews only the highlighted rows, then the pivots recalculate.

Every flag follows the same format: ID, problem, suggestion, reasoning. AI never edits data silently.

Payouts: team leads confirm, finance double-checks, a person sends the money

The system drafts the payout register automatically from active contracts, payment thresholds, rates, and delivery status.

Team leads receive a ready calculation for their people and confirm or dispute specific lines, instead of being asked to "send the numbers."

Each answer is reconciled the moment it arrives. Discrepancies go straight back to the thread instead of surfacing at the end of the month.

Finance sees only an exception queue (AI flags and disputes, each with a proposed fix). Only a person sends money, from the approved register, and each payment is written back to the ledger.

Infrastructure and subscription spend control

  • A subscription register lists every software and AI service with its expected amount, billing frequency, owner, and purpose.
  • A monthly automated check compares actual card charges against the register and produces one screen: new services (and who added them), duplicate charges, month-over-month growth, and cancellation candidates.
  • Any charge outside the register goes to the cardholder as a same-day question, not a month-end surprise.
  • AI API keys are issued one per business line with spending limits, so AI costs roll into each line's P&L.

In one monthly review, the per-service breakdown surfaced a duplicated AI API charge and an unlabeled software subscription with no currency recorded.

Implementation plan

Week 1

Automated file assembly and AI highlighting on top of the existing workbook. A prototype script already replicates the workbook's logic.

Weeks 2–4

The messaging bot and the counterparty directory.

Months 1–2

The full loop: automated payout register, client renewal reminders, country-level reporting, tax reserves, and a cash-flow forecast.

Each stage is useful on its own and removes its own share of the 3–4 days.
